Scheduler for Rehab Services (FT) – Seacoast

  1. Maintains a professional image and exhibits excellent customer relations to patients, visitors, physicians, and co-workers in accordance with our Service Excellence Standards and Core Values.
  2. Uses exceptional customer service skills when speaking with insurance companies/patients and other internal departments.
  3. Respects, at all times, the confidentiality of patient’s records and facility operations.  Uses complete discretion when discussing patient matters.
  4. Uses proper telephone etiquette when receiving and transferring calls; speaks clearly and concisely.
  5. Places reminder calls for scheduled patient appointments and documents in system; assists with prioritizing and scheduling new referrals.
  6. Collects all demographic information relevant to the Registration process, obtain copies of front and back of all Medicare,  Medicaid, or Commercial Insurance identification cards.  Carefully enter information in to computer, also complete insurance query when applicable.
  7. Demonstrates ability to triage orders and get patient appropriate access to care.
  8. Monitors access time across all locations, including tracking and communicating to director if not within desired parameters.
  9. Contacts patients to discuss authorization status and obtain additional information as needed.
  10. Recognizes problems and recommends solutions for positive changes in operations.
  11. Demonstrates an ability to adapt to changes in operations, management styles and position routines.         
  12. Demonstrates an ability to set appropriate priorities; is prompt in completing assigned activities.
  13. Assists, as needed, with receptionist/aides paperwork responsibilities.
  14. Follows all departmental policies and procedures.
  15. Willingly participates in doing other duties although not directly assigned; Seeks out work that needs to be done.


High school graduate or equivalent with emphasis on secretarial and accounting courses. 

Minimum 2 years’ experience in medical related field; insurance authorization experience preferred.

Proficiency in Word and Excel
